Job Description

Duties


The ABS is looking for an enthusiastic and professional individual to provide high level secretarial, personal and administrative support to the Australian Statistician.

As the successful candidate you will work under limited direction to anticipate and manage the requirements of the Australian Statistician and meet key strategic, operational, policy and legislative objectives. You will be able to demonstrate your knowledge of government processes and procedures, and take the initiative to highlight risks and opportunities to the Australian Statistician.

This role requires well-developed written and verbal communication skills, good organisation and judgement skills and attention to detail to deliver quality outputs within tight and often conflicting deadlines.

You will report to the Director of Governance, with three direct reports. You will work with and be able to act as a trusted advisor for the other Executive Assistants. You will also display personal drive and integrity and be able to confidently negotiate and liaise with senior staff in the ABS as well as in other government/non-government organisations.

The Executive Assistant duties include but are not limited to:

• managing diary, telephone, in-tray and emails including ensuring that relevant papers are distributed prior to meetings
• providing a full range of travel and accommodation booking services, and managing subsequent financial acquittals
• undertaking administrative and research tasks to support the Australian Statistician including meeting logistics and briefing preparation
• providing a well-informed point of contact for stakeholder enquiries
• preparing correspondence from oral and written instructions
• arranging meeting venues, video conference bookings and catering
• providing secretariat support including developing agendas, taking minutes, documenting and distributing action plans
• preparing documents and managing records in accordance with approved policies and procedures
• keeping track of a high volume of activity, prioritising as required and ensuring that deadlines are met.

 

Eligibility


To be eligible for engagement to the Australian Public Service (APS), candidates must be Australian Citizens.

Whilst this position currently does not require the occupant to have a security clearance, it may at some time in the future and to continue performing those duties you must be prepared to obtain a security clearance at that time
