Job Description
Duties
1. Provide administrative support to the Legal Services and Procurement Branch, including by: 1.1 General administrative support such as - Supporting the local Advocacy team members, in particular the Local Business manager in local team matters such as filing, photocopying, mail procedures and hand pick up and delivery of documents, routine user maintenance of office equipment, ordering and control of stationery, furniture and equipment stores and other related activities as required and/or directed, including if required, the over sighting the work of an APS 3 office co-ordinator in carrying out this sort of work. - Supporting the Branch more generally by across Branch activities such as maintaining registers of office equipment such as mobile phones and laptops, maintaining or monitoring registers or reporting for National Accounts, cabcharge, mobile phone usage, entertainment expenses and breach reporting, and other related activities as required and/or directed, including if required the over sighting the work of an APS 3 office co-ordinator in carrying out this work.
1.2 Administrative support in relation to reporting such as - Supporting then Local Business Manager (BM) Advocacy on an as-required basis to update databases and prepare and distribute reports about local activities, including monthly case flow reports. - Supporting then National Business Manager (BM) Advocacy on an as-required basis to update databases and prepare and distribute reports to prepare and distribute reports about national activities. Reports could include the daily Action list and the preparation of monthly reports for Client Departments and the Advocacy section.
1.3 Administrative support in relation to SSAT, AAT and Federal Court matters in accordance with nationally agreed procedures, and other related activities as required and/or directed, including over sighting the work of an APS 3 office co-ordinator in carrying out this work.
1.4 Under supervision of the Local BM Advocacy, and as first port of call in the team, accept summons, subpoenas and location orders on behalf of Centrelink and refer as appropriate. 2. Contribute as a team member to the delivery of advocacy services on behalf of the Departments and Centrelink, including by:
2.1 Assisting the Local BM Advocacy in the establishing and maintaining of a team culture which supports a national legal practice and promotes adherence to professional values, teamwork, effective and efficient case management and productive internal and external relationships.
2.2 Actively facilitating own development. 2.3 Actively assisting the Local BM Advocacy and other team members in working towards team performance outcomes within agreed staffing levels, the national Advocacy team budget and national team principles (as advised by the Local BM Advocacy).
3. Comply with employment related obligations personally, including by:
3.1 Complying with all financial management obligations, including relevant legislation, Centrelink Chief Executive Instructions and policies and Commonwealth Procurement Guidelines.
3.2 Complying with and upholding all Human Resources and employment law obligations, including the APS Code of Conduct and the APS Values.
3.3 Complying with all information management obligations, including privacy and confidentiality, IT security laws, Protective Security Manual and other policies, guidelines and instructions.
3.4 Supporting the Local BM Advocacy, the NM and National BM to meet the expectations of the Minister and Centrelink Executives, including by applying the escalation principles set out by the NM and National BM Advocacy escalation protocol.
3.5 Complying with all other legal and ethical obligations.
Notes
This position is classified at the APS 4 level. It is part of the broadband incorporating APS 3 and APS 4 classifications. Commencing salary will be in accordance with the applicant’s skills, knowledge and experience. Please quote Reference no. 2010/59.
